What’s new in Admin Tool?

As you know, we are laser-focused on bringing you a seamless login experience. We have been working in the background to ensure you a smooth and simple login flow to the Admin Tool.

Access to Admin Tool is granted only when an account is set up. If you identify as an administrator of your organisation, please contact us using the Email option at the bottom of this page to set you up.

Follow these steps to get started with Admin Tool:

  1. Naviagate to the Admin Tool.
  2. Click ‘Get started’.

  3. Enter your registered email address in the field then click ‘Continue’.

  4. Enter your password and click ‘Sign-in'.

  5. You are successfully signed in to the Admin Tool.

If you've forgotten your password or need to reset it, click ‘Forgot password?’ then 'Reset password'.

If you have Admin Tool permissions, you will receive an email with with a link to reset your password. Follow the instructions in the email to reset your password. Please ensure you reset your password with the strong password requirements. Once you've set a new password, go to the Admin Tool login page and sign in.

Below are the error messages you see when inputting invalid details:

  1. "Enter a valid email": Always enter your registered email address to access the Admin Tool.

  • Changes to password reset flow. Users can now reset passwords from within the Admin Tool.
  • Improved error messaging for sign in and password reset flows to aid troubleshooting
  • Ability for Admins to create user profiles on behalf of others has been disabled. Administrators are encouraged to invite users to create profiles by issues registration IDs.

  • Navigation and UI changes help user understand that the tool can be used for managing access for additional products.
  • Updated the create registration ID feature so that registration emails & redemption guides for selected product are sent directly to the end users identified by Customer Admin.

  • Admin Tool has been rebranded to align with the rest of our Elsevier products.
  • The general tab's display has been updated to reflect the usage statistic first, as this has been determined being mostly used. The configuration options are available when you scroll down.

In addition to being able to personalize the ScienceDirect header by adding an organizational logo or a ‘Brought to you by’ text on the right-hand side of the header, Administrators can now add their organization's logo or ‘Brought to you by’ text and place it above the ScienceDirect wordmark in the header. ScienceDirect now also automatically displays either the uploaded logo or ‘Brought to you by’ text in both the personal drop-down and the mobile view, if the user is logged in to ScienceDirect.

  • The COUNTER (COP5) reports are now available for downloading in the Admin Tool. Administrators who are signed in to the Admin Tool can find these new COP5 reports under ‘Usage statistics’ on the ‘General’ tab.
  • If there are problems incurred while generating these reports, please contact our Elsevier support team using the contact options below, and they can help solve these issues for you.

  • The Elsevier Open Access Platform (EOAP) is now live. Admin Tool Administrators are now able to authenticate access to this platform for their organizations Open Access (OA) Administrators via the Admin Tool. More information about the Open Access Platform can be found on the EOAP Support Hub. Detailed instructions for how to enable access to EOAP for your OA Administrators via the Admin Tool can be found here.
  • The required GDPR message on the ScienceDirect Institutional Text Message page has been shortened and this change now allows Administrators to input a slightly longer custom full-text access text message.

Admin Tool has re-enabled the ScienceDirect Institutional Text Messages functionality. This was briefly disabled to allow for a mandatory text message to be implemented, advising users that the email address of the purchaser will be viewable to Admin Tool administrators in the transaction history statement.

To ensure GDPR compliancy, the purchasers email address will only be viewable if the following criteria are met:

  • The purchaser will see this note in the purchase confirm screen:
    • Note: Your email address will be made viewable to your organization’s administrator in the transaction statement.
  • Under ScienceDirect Purchase options, the ‘Allow bypass of purchase confirm screen’ is set to ‘No’, the inherited default option.
  • The purchasers email address will not be viewable in any transaction access history statement pre-dating 8 August 2018.

The 'Prompt user to change password at login' selection has been disabled on the 'Create User Profile' page only. This means, all new profiles created for users will now result in these users automatically being prompted to change their password at first login. This was done to ensure the responsibility of password management sits firmly with the end user, after an Administrator creates a new profile. This 'Prompt user to change password at login' selection has not been disabled on the 'Edit User Profile' page.

In addition, Administrators will now no longer be able to edit passwords, when modifying existing user profiles.
